IP communication: How to optimize business processes

The communication structure, however, has to be matched with corporate business processes. IP communication offers advantages to every company to improve business processes no matter of company size, points out Roland Russwurm, founder and manager of the Munich-based unified communications specialist ANDTEK GmbH.
If communication services have to be integrated into business processes, it is of major importance to have a detailied description of underlying processes business processes. That means it has to be determined how, at which workplace and to which extent communication plays a role at all. Let`s see some example of tools supporting your business processes.
The attendant console solution “AND Desktop AC” of the Munich-based unified communications specialist ANDTEK GmbH e.g. is predestined for all companies handling their phone calls multifunctionally and/or via PC. The IP communication solution, being available as workplace with braille display including the entire range of functions as well, allows busy lamp field information about all phones within the company. With the IP phones users can do their phone calls conveniently via headset and they can control their phone by various devices, search in the corporate directory, make phone calls and have access to call lists. Due to the accelerated call processing companies can e.g. improve the customer service and expedite internal coordination processes. Depending on workplace requirements phone calls can also be recorded, i.e. the original conversation can be recorded and is legally binding.
These examples show the central meaning of the interface between communication infrastructure respectively communication system and business processes. “There should be a standard for communication systems to achieve almost uniform conditions for subsequent operations”, says Roland Russwurm.
Companies intending to implement IP communication across the company and to integrate modern ways of communication like social media and video or groupware software have to take care of the fact “that the capacity and especially the quality of the network is adequate”, says communication expert Russwurm. In this context not only the available bandwidth of the network is important, but also special methods to control bandwidth distribution as well as delay times. It is important to install “quality of service” across the network as well as to provide for a dynamic reservation of transmission parameters for important services like voice or video.
IP communication offers advantages to almost every company no matter of which size same is. For example when a new IP phone workplace including additional services has to be installed it offers significant time savings. A qualified administrator needs up to 45 minutes to do this. Using ANDTEK’s IP communication service “AND Phone Provisioning” the required time is reduced to about 5 minutes. Further advantages are among other things modern manager/assistant functions with real-time status display of other phones within the company or the integration of databases, MS-Outlook contacts and corporate directories having a different format.
A modern IP communication environment is more complex than a classic telecommunication system and thus requires more know-how regarding installation and during operation. Thus a competent partner having expertise in the field of IP communications helping during installation and support.
